Secretary San Francisco, CA The incumbent serves as the personal assistant to the Chief of Staff and has delegated authority involving a variety of difficult and sometimes sensitive matters. This position is part of a three-person team supporting the Medical Center Director, Chief of Staff and Associate Medical Center Director. This Secretary will be responsible to provide back-up support for team members as needed, including but not limited to dealing with patient inquiries, answering phones, routing mail, answering questions from staff and outside entities and scheduling appointments for management as needed or requested. Rigid deadlines must be met frequently in matters pertaining to patient-care activities, inquiries from headquarters, Congress, VISN Office, Regional Counsel and Service organizations. This position is responsible for the monitoring of deadlines for reports and/or correspondence to these entities including but not limited to daily follow-up with Service Chiefs or other staff to ensure the deadlines are met. The Secretary will be responsible to receive all correspondence for the Chief of Staff, replies to mail, routes matters requiring action by facility service chiefs, and follows up to ensure that actions are completed. Screens all correspondence prepared for the Chief of Staff for clarity, completeness of reply and grammatical and procedural correctness. The Secretary will respond to inquiries and administrative problems brought to the Chief of Staff by employees, patients, visitors, outside agencies and organizations, news media and the public. The incumbent maintains control over the Chief of Staff appointments with complete authority for commitments of time. This involves coordinating calendars with office staff for the Associate Director and Director, as well as the Service Chiefs. Screens all calls and visitors, answer most questions and complete most business involving established policy or routine matters. Arranges conferences for the Chief of Staff.
