Provides administrative and clerical support to the Associate Director of Roads, Grounds and Forestry and to the staff of the Department of Roads, Grounds and Forestry. Prepares, receives, processes, reviews, maintains, and verifies a wide range of documents, compiles information for reports, schedules appointments, gives information to callers and office visitors, and performs a broad range of office duties. The work involves carrying out specific procedures using established methods, and requires knowledge of the clerical/technical processes and procedures involved in maintaining the functional programs of the work unit. Duties include answering and screening incoming calls for the Associate Director, and responding independently when possible; processing credit card purchase requests and purchase requests through Oracle for the full range of services and/or supplies utilized by department; serving as timekeeper and processing electronic timesheets for assigned employees on a bi-weekly basis and acting as liaison between employees and Human Resources regarding timekeeping questions and issues; serving as back-up timekeeper as designated; creating and maintaining database and spreadsheet files; organizing and maintaining file system, and filing correspondence and other records. Full time position with benefits. Minimum pay rate: $43K per annum.

The incumbent serves as the personal assistant to the Chief of Staff and has delegated authority involving a variety of difficult and sometimes sensitive matters. This position is part of a three-person team supporting the Medical Center Director, Chief of Staff and Associate Medical Center Director. This Secretary will be responsible to provide back-up support for team members as needed, including but not limited to dealing with patient inquiries, answering phones, routing mail, answering questions from staff and outside entities and scheduling appointments for management as needed or requested. Rigid deadlines must be met frequently in matters pertaining to patient-care activities, inquiries from headquarters, Congress, VISN Office, Regional Counsel and Service organizations. This position is responsible for the monitoring of deadlines for reports and/or correspondence to these entities including but not limited to daily follow-up with Service Chiefs or other staff to ensure the deadlines are met. The Secretary will be responsible to receive all correspondence for the Chief of Staff, replies to mail, routes matters requiring action by facility service chiefs, and follows up to ensure that actions are completed. Screens all correspondence prepared for the Chief of Staff for clarity, completeness of reply and grammatical and procedural correctness. The Secretary will respond to inquiries and administrative problems brought to the Chief of Staff by employees, patients, visitors, outside agencies and organizations, news media and the public. The incumbent maintains control over the Chief of Staff appointments with complete authority for commitments of time. This involves coordinating calendars with office staff for the Associate Director and Director, as well as the Service Chiefs. Screens all calls and visitors, answer most questions and complete most business involving established policy or routine matters. Arranges conferences for the Chief of Staff. Develops background information and composes drafts of introduction and talks to be presented at various meetings. The incumbent attends and records the minutes of meetings which are summarized and distributed. The incumbent maintains strict standards of confidentiality regarding all matters pertaining to the Office of the Chief of Staff, Associate Medical Center Director, and Medical Center Director.
